Backyard Entertaining Ideas: Easy Setup & Hosting

As much as I love the outdoors, I would probably consider myself more of an… indoor person. And yet, when it comes to entertaining, I keep coming back to my backyard. 

While hosting outdoors means braving challenges like sun, wind, bugs, and dirt (ugh), there’s something special about it that makes all the hassle worth it. Whether you have a full yard, a patio, or a balcony, I’ve put together some backyard entertaining ideas that will help you plan fun outdoor gatherings for your guests. 

In this post, I’m covering both how to stage your outdoor space so it feels guest-ready and ideas for easy backyard gatherings you can host once it’s set up.

How to Stage Your Outdoor Space

Let’s talk about how to set up your backyard. There are two primary things to consider when staging your outdoor space: comfort/practicality and ambience/atmosphere.

Comfort & Practicality

First, consider these practical elements when setting up your outdoor space.

Create Enough Shade

Beautiful sunny days are obviously the most fun for hosting outdoor gatherings. That said, the sun can also be your enemy.

Even if the weather is relatively cool, if your guests are in direct sunlight for more than a few minutes, they’ll overheat. 

If you don’t have shade naturally built into your backyard via trees, roof overhangs, or other features, you’ll need to create your own. 

Our first apartment had a balcony, and the roof overhang naturally created enough shade so we didn’t have to do anything. But our current backyard has a pergola on the paved patio area. It’s beautiful, but it doesn’t actually create much shade since it has a wide latticed roof.

To help resolve this, we attached an inexpensive pergola cover from Amazon to our pergola using large zip ties.

If you don’t have a structure to attach a cover to, you can also get shade sails to hang from different points around your yard, such as trees, your fence, or your roof.

If you don’t have anywhere to attach a shade sail, outdoor umbrellas are another very practical option, and many come with patio furniture (more on that next).

Invest in Patio Furniture

Patio furniture can seem like a big investment, but you don’t have to spend a ton to get something nice. 

You can opt for a table and chairs, comfy lounge seating, or both. We chose a table and chairs for versatility, but eventually, I’d love to add a couple of lounge chairs as well. 

Focus on choosing furniture that makes the most sense for your layout, prioritizing both comfort and aesthetics.

I’ve noticed people naturally gather where seating feels conversational. Even a couple of chairs angled toward each other with a spot to set down drinks can make guests more likely to settle in and stay awhile.

While spending more might pay off over time, my philosophy is that outdoor furniture takes a lot of wear and tear from the elements, so we went with a more budget-friendly option.

We found our set on sale at Home Depot. Costco is another excellent place to look, and Target has really cute pieces with great sales if you time it right. While shopping in the off-season saves the most money, you can find affordable options year-round if you keep an eye out.

Utilize Picnic Blankets

If patio furniture feels like too big an investment right now, picnic blankets are a fantastic alternative for backyard hosting.

While you can certainly ask guests to bring their own, it’s always a good idea to have at least one or two on hand. My husband was gifted one years ago that has a waterproof backing and folds up into a carrying case — this one on Amazon is similar

Consider Shatterproof Dinnerware

If you plan to serve drinks, snacks, or full meals outside, you may want to consider investing in some shatterproof dinnerware.

We haven’t made the leap yet, mainly for the sake of my husband’s sanity regarding storage (I’m such a nice wife, right?). Plus, I love the feel of real dishes and glassware, so we usually just use our company dinnerware set.

However, if you host outside often or are worried about breaking your nice dishes, it can make sense to buy outdoor-specific pieces. You can also use disposable options for easy clean-up.

Acquire a BBQ/Grill

A BBQ/grill is a classic investment for backyard hosting, since cooking outside is both fun and can make feeding a large group a lot easier. 

We finally got my husband a Weber last year, and he has been thriving! That said, there’s definitely a learning curve with grilling. If you’re feeling intimidated, starting with veggie skewers and pre-cooked meats like hot dogs or sausages can take some of the pressure off.

If you don’t have a yard of your own, keep in mind that many apartment complexes have communal grills you can use for your gatherings.

Maintain Basic Yard Care

Another key to prepping your space is keeping up with basic yard care. Whether you have a full yard, patio, or balcony, a quick sweep of leaves, cobwebs, and dirt before guests arrive makes a huge difference.

We also try to wipe down patio furniture somewhat regularly, and if your setup has removable cushions, bringing them inside when not in use helps extend their lifespan (we intentionally avoided cushions to prevent the hassle).

If you have a full backyard, a little maintenance goes a long way. We do have a gardener come every couple of weeks, but in between, our yard can quickly get out of control.

Getting a full-on mower felt “too adult” for us, so we got a weed whacker instead and use that to tidy up between gardener visits.

And honestly, a lot of this is last-minute effort. We usually end up doing a quick “panic tidy” right before people arrive, and it’s amazing how much better everything feels with just 10-15 minutes of work.

Prep for Bugs/Mosquitoes

Bugs and mosquitoes are one of the biggest challenges of outdoor hosting.

Fortunately, we don’t get many bugs where we live, but they can still be a nuisance, especially when food is involved. One of the most effective solutions I’ve seen is placing fly fans on tables near the food. You can also use citronella candles as a deterrent.

As much as I hate to admit it, to a certain extent, you just have to accept their presence and try to keep them from being too disruptive.

Designate a Trash & Recycling Station

One thing you don’t always think about as a host is where to put trash and recycling when you’re outdoors, but it’s always top of mind for guests.

We usually simply hang a trash bag somewhere convenient, but having dedicated outdoor trash and recycling cans would really elevate the experience.

Stage Drinks & Food

You’ll also want to think about where food and drinks will be outside.

For drinks, a cooler with ice works well for casual setups, or you can dedicate a table for drink dispensers and glassware if you’re hosting a larger group.

For food, I try to keep things indoors until the last possible minute so everything stays fresh and at the right temperature. Covering dishes until serving also helps keep bugs away.

Ambience & Atmosphere

Once you have the basics down, it’s time to set the mood!

Make it Cozy with All-Weather Twinkly Lights

My obsession with lighting is well-known, and I’m a big believer in its power to influence the tone of your gathering. Bringing twinkly lights outside is probably the #1 way to add ambience to your backyard — especially for evening events!

We have the classic all-weather LED string lights (ours are from Costco), but there’s a variety of options online. You can hang them from the same spots you’d use for a shade sail, or invest in poles to help support them across a larger open area.

Add Texture with an Outdoor Rug

I wavered about getting an outdoor rug since it didn’t feel totally necessary, and I was worried about it getting dirty or looking worn out.

But I eventually found a reasonably priced one to place under our patio furniture and was surprised by how much the texture elevates our backyard.

My advice when choosing a rug is to accept that it will get dirty and to select an extremely forgiving color or pattern.

Install a Bird Feeder or Fountain

I wouldn’t consider myself a “birder,” but last year my sister got me a bird feeder, and it’s been surprisingly fun. The birds add beauty and life to the yard. Just be sure to pick a feeder that deters squirrels and other rodents (this handy hook stand keeps ours out of reach).

A bird fountain is another beautiful addition to your backyard that doubles as decor. Plus, the sound of the water adds to the atmosphere.

Set Up Dedicated Outdoor Speakers

Music is key for ambience, and having specific outdoor speakers is a great way to set the tone for your event.

We use Echo Dots for music in our home and have one that we use exclusively outside. The thing we love about them is that they’re all connected in the Alexa app. When we have indoor/outdoor gatherings, we can play the same music on all speakers throughout our entire space.

Bring Warmth with a Fire Pit

We don’t have a fire pit — yet. But I really want one.

A fire pit is a key element for outdoor ambience because it gives people a natural place to gather. 

My parents have a couple on their deck, and they’re both practical and cozy, especially for evenings or cooler times of year. You can use them for s’mores or just for the warmth.

After you have your basic setup, your backyard doesn’t just look nice — it becomes a space that’s both practical and enjoyable for hosting.

Backyard Hosting Ideas

Once your space is set up and comfortable for guests, you can start thinking about the fun part: what events to host in it!

Here are a few of my favorite ideas for backyard hosting.

Lay Out a Backyard Picnic

There’s something special about a picnic, and it’s an extremely easy event to throw together because the food and drink options are so flexible.

In addition to a picnic blanket, I’ve found that a simple serving tray is incredibly handy for keeping things stable on the grass. To make the hosting even easier, you can have guests bring their own blankets and a snack or beverage to share.

Enjoy a Casual Brunch

Brunch is my favorite meal, and it’s even better when enjoyed outdoors. You don’t have to go overboard to make it feel elevated. Adding a few fresh flowers to the table or using beautiful dishes are simple ways to make the morning feel special without too much effort.

Put Together a Wine & Cheese Night

One of my family’s pandemic traditions was enjoying wine and cheese on our deck in the evenings. Even though those days are behind us, it’s still one of my favorite pastimes. 

You can throw together a full charcuterie board, or simply grab a bottle of wine and a couple of enormous blocks of cheese (what we often do for simplicity’s sake). 

To spice things up, you could even do a “blind” wine tasting where guests guess the grape varietal or the year.

Gather for an Outdoor Dinner Party

I love hosting dinner parties, and taking them outdoors is a fun way to mix things up. Just because you’re outside doesn’t mean you can’t still set a beautiful table, light plenty of candles, and serve elegant drinks.

Fire Up a Classic BBQ

If you’re ready to showcase your grilling skills, a classic BBQ is the perfect backyard event. 

In addition to whatever you’re grilling, I recommend having some easy, make-ahead sides and desserts to help minimize hosting stress (these 5-ingredient magic bars are one of my favorites!). 

Don’t forget to stock a cooler with drinks or designate a drink station so guests can help themselves while you’re at the grill.

Organize an Afternoon Tea Party

Outdoor afternoon tea was another event for my family that emerged from the pandemic, but honestly, it’s something that should be enjoyed outside more frequently. 

Adding a tablecloth to your outdoor table, using real teacups, and serving tea sandwiches, scones, and mini desserts on a tiered stand all help make your tea party feel fancy.

Relax with Coffee & Bird Watching 

For a more casual morning, invite some friends over for coffee and bird watching. It’s a low-pressure way to enjoy your backyard and makes for a very relaxing start to the day.

Roast Some S’mores 

Even though I’m not the biggest s’mores fan, there’s something about a fire pit that gets me excited to eat one. A s’mores night is a fun and easy way to entertain guests outdoors.

My favorite pro tip for the best s’mores is using Ghirardelli squares instead of regular Hershey’s chocolate. Total game changer!

Screen an Outdoor Movie

If you have a projector or a TV that can be moved (ours is on a rolling stand), an outdoor movie screening is so nostalgic and fun.

Whether you have chairs or picnic blankets, all you need is some popcorn and snacks, and you’re set for a fabulous night. 

Celebrate a Summer Birthday

While I may not be the most outdoorsy person, as someone with a summer birthday, I’ve always felt they’re meant to be enjoyed outside in some capacity. The longer days make it so much easier to pull this off!

For my 30th birthday, we had a “Goodbye Roaring 20s” party. I didn’t want to host the entire event in our backyard, so we served drinks outside for an indoor/outdoor hybrid party. The weather was fabulous, and the night was such a blast!

Host a Baby or Bridal Shower

Since baby and bridal showers are often daytime events, they’re excellent candidates for backyard entertaining. Plus, the extra sunshine feels appropriate for such celebratory occasions.

We hosted my “Over the Moon” baby shower partially in our backyard. As the event wound down, guests ended up chatting outside for a while, and it was so nice and relaxing!

At the end of the day, you don’t need a Pinterest-perfect yard to host something special.

By keeping the setup practical and leaning into a few easy ways to create ambience, you can host really fun backyard events without spending a ton of time or money. Hopefully, these ideas give you a starting point for your own backyard traditions this season!
